PIM software implemented: How to proceed?

As with many IT implementations, a PIM implementation does not stop after the system is up and running. In fact, that's when it starts. We always recommend starting with the basics and once those basics are in place, build on them. This can be done in a variety of ways and components. Some of those options are discussed in this article.

Optimization of the process

Before the PIM system is implemented, users often have no idea what the capabilities of the system are. They are only familiar with their own work process. Only after implementation do they learn the capabilities of the PIM system and the user is able to make the translation to their own work process.

Optimization can be done after implementation in two areas, namely:

  1. Working in/with the PIM system
    There are X number of actions needed to perform a certain task. By having a clear picture of what these actions are, as well as knowing the possibilities of the system, these actions can be optimized (read: reduced).
  2. The daily work process
    Actions that are performed daily can be implemented in the PIM system. Alternatively, these actions can be automated.

Automate

Who doesn't want that: to automate. Processes involving repetitive actions can often be automated. Transforming and importing data, generating product documents/documentation, and translating (product) texts are some examples of processes that can be considered for automation.

Datafeeds

Supplying product data to (re-)sellers has become the most normal thing in the world, but delivering that product data to marketplaces like Amazon and Bol is also becoming more common.

That flow of data lends itself ideally to being automated and unified. The source of that data flow is the PIM system, and so the purpose of that flow may vary. For example, XSARUS is increasingly seeing integration with feed management systems like Channable. A feed management system standardizes that even further.

Perhaps - in an age where everything is being digitized - it feels a bit awkward to use the term "print. However, many organizations still (successfully) produce product flyers, product specifications or product fact sheets.

PIM systems offer the ability to collect product data in a template, ensuring that the result is always uniform and consistent. In addition, it is possible to link the PIM system to InDesign.

Multilingualism

It is also possible to make product data available in multiple languages in the PIM system. With the PIM implementation, a good foundation has been laid to tackle this in a very structured way and even automate it, for example when new languages are added. From the PIM system, it is possible to create links to translation agencies. At XSARUS, we have experience with Trados and GlobalLink (Transperfect), among others.

Increasing product data quality

"Garbage in = garbage out," is a common and used phrase when it comes to data. By this is meant that data quality is a crucial part of the success of the product(s). One of the goals of a PIM system is to increase data quality. The effect of data today may be different tomorrow, which means that an organization must pay continuous attention to this. A PIM system supports this process of continuous improvement.

Measuring is knowing

With a professional and optimized PIM process, it is also possible to measure components. How does increased data quality contribute to sales? What is the effect of customizing web text? What impact does adding a USP to a product have?

The PIM implementation makes it possible to answer these kinds of questions through statistics. These statistics can be used to make very targeted adjustments and immediately see the effect of the adjustments. Which in turn can be used on the various (online) channels.
